2.1 The details which you provide about yourself and any information which identifies you such as your name, address, email address, telephone number, country of residence ("Personal Information") will only be retained by us if you provide this information when using one of the services available on our website, such as subscribing to one of our email lists or when purchasing tickets, memberships or other sales items via the website. Personal Information will be held on our system and used for operational purposes such as the processing of bookings, memberships and mailing list subscriptions.
2.2 We will hold the minimum personal data necessary to carry out our functions, and we will make every effort to ensure accuracy of the data. Where we record opinions or intentions, these will be carefully and professionally expressed. Data which is no longer required will be securely destroyed/deleted in accordance with relevant retention and disposal schedules.
2.3 When making a purchase via the website service you will be asked to supply credit or debit card details. In order to process the transaction, some of your Personal Information and card details may be passed to third party and/or hosted service providers. Card details will only be used for the purpose of handling an individual transaction. Encryption and security relating to the processing of card payments via Spektrix complies with the Payment Card Industry Data Security Standards requirements, also known as PCI-DSS or PCI compliance. No card details are stored by the Grand Theatre.
2.4 The Personal Information you supply to us may be used by the Grand Theatre to keep you up-to-date with events and activities organised by the charitable trust. In most cases you must opt in to receive such communications. If you do opt in to receiving communications, as well as general information about forthcoming events this may also include offers, recommendations based on previous attendance, invitations to special events and other Grand Theatre opportunities we think you may be interested in.
2.5 If you do not wish to opt in to all such information you can also customise your specific preferences. You can opt to receive only show marketing information (such as a letter about a forthcoming production or special event at the Grand) or to receive only information about fundraising/development (such as our quarterly newsletter about our charitable activities, or an invitation to support or learn more about our youth development work)
2.6 If you make a donation to the theatre we will contact you by post to tell you more about how your donation(s) have helped or can help the Grand to deliver its charitable and other development aims.
2.7 All e-mail communications the theatre makes with you are subject to your having opted in to receive them. The only exception to this is where such communication relates to the fulfilment of a contract with you (eg if there was a need to inform you of a change to a scheduled performance for which you held tickets)
2.8 Friends of the Grand is an independent organisation separate to Wolverhampton Grand Theatre. Memberships, subscription arrangements and membership communications for the Friends of the Grand are administered and processed by the Grand Theatre. A separate Privacy Statement issued by the Friends of the Grand is available.
2.9 When purchasing tickets you may also be given the opportunity to opt in to receiving news and information from other arts organisations and our partners including sponsors.
We will only pass on your Personal Information for such purposes if you have ticked the relevant box(es).
2.10 Each e-mail we send you offers you the opportunity to amend these preferences, or where applicable you can amend them yourself in your online account, or you can ask us to do this, by e-mailing firstname.lastname@example.org
2.11 We may from time to time ask you for further information in order to update our records or for particular purposes. We will always tell you how we will use any further information received from you. From time to time we will need to send you our website and service announcement updates.
3. Log files
3.1 Every time someone visits our web site a log file is generated on our computer.
3.2 The log file records the time and date of your visit, the files that were requested, your IP (Internet Protocol) address, the referrer URL (if provided) and the browser version. We collect this information to help us diagnose problems and administer our systems and to audit the geographical make-up of users and how they have arrived at our site; that is, from what other sites have visitors arrived - this information being obtained from the referrer URL.

5. Essential cookies
Spektrix is the booking platform we use to sell tickets. To purchase tickets through our website you need to have cookies enabled. If you do not you will not be able to complete your purchase. Spektrix cookies allow you to login, add multiple items to a shopping cart before purchasing tickets, merchandise and making donations. If you are struggling to progress beyond selecting tickets you will need to check your settings are enabled to accept cookies from third parties. These cookies are used to collect information about how visitors use our site. The cookies collect information in an anonymous form, so we don't know who is using our site. We use the information on how people use our website to compile reports and to help us improve the site.

7. Use and disclosure of Personal Information
7.1 If you book using the website, elements of personal information will be incorporated into our database on the basis described in Section 2 above.
7.2 If you make an enquiry by telephone your call will be recorded and that secure record kept in accordance with relevant retention and disposal schedules. If you contact us by telephone or by post we reserve the right to keep a record of that correspondence and incorporate the information it contains into a database or other secure storage for the purposes of dealing with the content of your correspondence and/or the fulfilment of any contractual obligation therein.
7.3 If we are required by law or requested by the police or a regulatory or government authority investigating potentially illegal activities to provide information concerning your activities whilst using the network we shall do so. We may also be required to disclose Personal Information to appropriate third parties to assist in anti-fraud checks and investigations.
8. Surveys and Research
8.1 From time to time we conduct surveys and promotions and may request information from you as part of these. Participation in these is voluntary and you would therefore have a choice whether or not to disclose any information.
8.2 We may use information relating to your relationship with us for research and analysis purposes. This might relate to audience behaviour such as changes in frequency of attendance, advance booking behaviour, fundraising potential etc. all of which can help to inform our strategic planning as well as to improve the service we provide.
9. Users Under 18
If you are under 18, please ensure that you obtain your parent/guardian's consent beforehand whenever you provide personal Information to the website. Users without such consent are not allowed to provide us with personal information.
10.1 We take every precaution to protect your information. To this end all digital personal information stored by us is kept on servers in a secure environment. Other than where agreed by you for marketing purposes, only employees and approved contractors or developers we may appoint from time to time, and who need the information to perform a specific job, are granted any access to personally identifiable information.
10.2 Where access is granted for a third party to have access to personal data (such as a mailing fulfilment centre or a research agency) such activity will take place under a written information sharing agreement setting out the scope and limits of the sharing, and the safeguards to be put in place.
